The term open and costume sizing checklist

A working list that takes a children's ballet school from placement day to a costume order that arrives in the right sizes.

This is the list we would hand a new owner in August. It covers the four stages that decide whether the season runs itself or runs you: building the class grid, placement day, the sizing window, and the costume order with the recital fee that follows it.

Every item is written as an action with a definition of done attached, because a checklist that only says review costumes is not a checklist. Work through it in order, since the dates chain together and moving one moves all the ones after it.

How to use it

Print it in August and keep it where you plan the term, not filed away. Each item has a definition of done, so you can hand a whole stage to a faculty member or an office helper without explaining it twice.

The four stages run in order and the dates chain together. Placement sets the rosters, the rosters set who needs a costume, the sizing window sets when the order can go in, and the order date sets when the first recital fee installment lands. Change one date and every date after it moves.

Questions about this document

When should I start working through this?

Six weeks before the term opens, which for most schools means late July or early August for a fall term. The sizing stage sits much later, but its deadline comes from recital day, so mark that date at the start even though the work itself lands in winter.

Does this work for a school with two locations?

Yes, with one change. Run the grid and placement stages per location, because class times and teacher availability differ, then run one combined sizing window and one costume order across both. A single order usually gets you better handling on sizes and one delivery to check in.

What if our recital is in December rather than spring?

The stages are identical, the calendar just compresses. A winter show means the sizing window opens close to term start, so choose costumes before enrollment rather than after, and expect a shorter chase before the order deadline arrives.
